Goal
Processing Admissions Documents
Undergraduate Admissions processes undergraduate applications, high school transcripts, test scores, and college transcripts for transfer students.


Objective
Timely Processing Of Admissions Documents
Undergraduate Admissions will process applications and accompanying documents so as to communicate an admissions decision quickly as possible.

KPI
Processing Time
Processing time is dependent on seasonal application rates. Our goal is to have applications and related documents processed within 24-48 hours.

Result
Information Management System (IMS) Restraints
We have accepted that Banner, our IMS system cannot manage our needs.  For instance high school transcripts cannot be managed in Banner and have to be entered by hand.  With increased staff, we have narrowed the processing time to 3-5 business days. We are striving to lessen that time to 24-36 hours next year.

Action
Processing Goals
We now have two transcript analysts: one analyzes and enters the domestic student materials and another analyzes the international student materials. Our goal is to have able to load college transcripts (transfer students) electronically effective May-June 2013. In November 2013, we hope to be managing applications electronically.

Although we are still working to accomplish a shorter processing time, we are going to retire this objective and choose another to improve.

Electronic Records Retention
Electronic records retention will be implemented in lieu of hard copy retention.

Objective
No Backlog On Electronic Imaging
The objective is to remain current with electronic imaging to avoid a backlog.

KPI
Scanning Time
Scanning time of new documents impacts the objective.  Our goal is to remain current in scanning documents.

Result
Successful
We are doing well with scanning documents in electronically.  We are so pleased that we believe we have conquered this task.

Action
Retiring Objective
Since we have remained successful at having no backlog, we are retiring this objective and will add another area to work toward improvement.

Goal
Effective Communication With Potential Students
Effective communication would help potential students learn of incomplete files as well as acceptance or denial in a timely manner.

Objective
Applicant Communication From Admissions
Applicants to SHSU will receive communication from Undergraduate Admissions in a timely manner.

KPI
Number Of Students With Incomplete Applications
Students whose applications are incomplete will receive some form of communication informing them of their status within a few days of the decision.

Result
Good Plan In Place
Hobsons has made a tremendous difference in sending timely e-mails.  It also tracks when the e-mails are received and when they are opened. This goal/objective is met.

Action
Objective To Be Retired
Since Hobsons is in place and doing such a fine job, this objective will be retired and another area needing improvement added.


Update to previous cycle's plan for continuous improvement

Plan for continuous improvement We have been pleased with our success this year.  We will be retiring all three objectives and adding three new objectives where we would like to see improvement.
