Goal
Enhance Campus Landscape Appearance
Provide a beautiful campus for prospective students, as well as for students already enrolled.

Objective
Improve The Appearance Of The Campus Landscape
Improve the appearance of the campus landscape to provide a tranquil, pleasant, and safe learning and working environment.  Improvement of the campus landscape will promote a higher first and last impression of the University by prospective students, parents, and visitors.

Completed And Prioritized Plan For Improving Landscaping Of Campus Grounds
Documentation will be created by Grounds Maintenance Staff for an assessment of necessary landscape improvements across the entire campus. Plans will be developed to execute these improvements.  Documentation will take the form of a "Prioritized task list of Campus Areas to Re-Landscape".  This task list will be completed by November 15, 2011.

Once the campus landscape improvement plan has been developed, Grounds Staff will complete 50% or more of the plan in 2011-2012.  Progress on projects will be tracked and recorded.

66% Of Project List Completed.
Eight of 12 project have been complete for FY12.

Project List Roll-over And Update To FY13 List Of Projects.
Uncompleted projects from FY12 will be re-evaluated and incorporated into the FY13 list if they meet the immediate needs of the campus landscape.

Objective
Survey Campus Community And Visitors And Use Feedback To Improve The Campus Landscape
Develop a method of surveying campus community and visitors regarding their impression of the campus landscape.  Use feedback from the survey to determine the satisfaction level of campus community and visitors.  Identify strengths and weaknesses in the current landscape.  Make improvements in future landscape plans.

Campus Community And Visitors Level Of Satisfaction As Determined By Survey Results
Grounds Services Staff will initiate a survey and corresponding grading scale to measure the overall satisfaction of the campus landscape by the campus community and visitors.  Target for results will be that 90% of survey respondents will indicate at least a 'satisfactory' rating for the campus landscape.

Out of 24 surveys distributed, 19 responded and yielded an average satisfaction score of 96%.

Grounds Services has determined that the survey has been a useful tool in assessing our effectiveness as a department and will make the survey available on our department link on the Physical Plant website.

Enhance Custodial Services Effectiveness
Improve the appearance and cleanliness of educational buildings through more effective cleaning based on the feedback received from building occupants.

Objective
Measure The Quality Of The Building Cleaning Process
Custodial Services will assess the cleaning process in each building by evaluating the work completed by custodians.


KPI
Cleaning Performance Evaluations
Supervisory staff will conduct bi-monthly inspections of the cleanliness of all  buildings serviced and score them on a scale of 0-100 percent.  Achieve an annual average score of 80% or better in all facilities inspected.  A graph will be developed and updated to visually track the progress of the cleaning performance evaluations.

Inspection results from FY12 indicate that 89% of buildings received a score of 80% or better.

Action
Inspection Results Assessment
FY12 inspection results have dropped from the previous year and our target goal.  It has been determined that low staffing rates and employee retention are the most likely reasons for the drop in overall inspections scores.  These issues will be addressed in FY13 when a new  'Employee Development Process' is established and implemented.  Inspection results will be tracked in the future and used as "Dashboard Indicators".

Survey Building Occupants And Use Feedback To Improve Custodial Effectiveness
Develop a method of surveying building occupants regarding the effectiveness of Custodial Services.  Use feedback from the survey to determine the satisfaction level of occupants and help to identify strengths and weaknesses in the current cleaning program.  Make improvements to cleaning program.

Building Occupant Level Of Satisfaction As Determined By Survey Results
Custodial Services staff will use a survey with grading scales to obtain feedback from building occupants on the overall level of satisfaction with the campus cleaning process.  These results will be used to guide improvement in the cleaning program.  The survey results of the respondents are set at a target of 90% satisfactory.  This will determine the rating of our campus cleaning process.

Out of 24 survey sheets responding the Custodial Services  staff scored a 90% average of the 19 responses, which was 79% of the survey sheets handed out.

Update to previous cycle's plan for continuous improvement

Plan for continuous improvement Grounds Services has preserved the campus landscape at a high level and, additionally, completed numerous major and minor projects during FY12 that greatly enhanced the overall beauty and function of the University landscape.  Evidence of their hard work and service to the University community was illustrated in the 96% satisfaction rating that was received from the survey results.  Tracking yearly landscape improvements and survey scores are two effective ways of measuring the effectiveness and efficiency with which the Grounds Services Department operates.  Both activities will be ongoing as assessment tools for future use.

Custodial Services performed well over the past year and has observed a high level of customer satisfaction according to the recent survey results although some of the internal goals were not met.  Plans are being developed to address key issues in employee development and retention for the coming year which should greatly improve the chance of meeting and exceeding the University's standards and expectations.
