Collection
Povide seamless access to a collection of high quality resources, including print, web-based resources and locally produced content, which meet the curricular and research requirements of the University.

Objective
Access To Government Documents
Utilizing cataloging standards and best practices, catalog records will be added to the online catalog for federal and state publications received through the depository programs, thereby improving access to the Government Documents collection.

Provide access to all new federal and state documents through timely addition of bibliographic records to the online catalog (including e-resource records) and promptly shelving tangible items (paper, microfiche, CDs, DVDs, videos and sheet maps).

Add records to the catalog for all new federal and state documents received by the library.

Finding
Add Records For Government Documents
Records for new federal and state documents have been added to the public catalog on a regular basis throughout the year as documents are received from the GPO and the Texas State Library.  This includes records for documents in all formats (print publications, sheet maps, microfiche, CD-ROMs, DVD-ROMs, videocassettes, and documents available online only).  There were 169 government documents checked out by patrons during the 2009-2010 academic year to date.

Begin re-inventorying (recon) uncataloged (pre-1995) documents in the I 29 classification (National Park Service); continue recon of Y 4 classification (Congressional hearings, prints, and calendars) add at least 150 records per month to the online catalog.

Recon Of Government Documents
The re-inventorying (recon) of uncataloged (pre-1995) documents in the I 29 classification (National Park Service) has been completed; recon of uncataloged (pre-1995) documents in the I 49 classification (Fish and Wildlife Service) is underway with completion anticipated during Fall 2010.  The recon of the Y 4 classification (Congressional hearings, prints, and calendars) continues and will be a multiyear project.  The target of adding at least 150 records per month to the online catalog has been exceeded.

Complete review of library's GPO item selection list; add new items numbers as needed; delete item numbers that no longer support the curriculum or research needs by July 31, 2010 and return to GPO.

Annual review of library's GPO item selection list was conducted during June 2010; it will be returned to GPO before July 31, 2010.

Criterion
Maintain Currency Of Government Documents Collection
Perform regular weeding of outdated and superseded documents, and submit disposal lists to the Texas State Library and Archives.

Finding
Maintain Currency Of Government Documents Collection
Outdated and superseded federal and state documents were weeded throughout the year.  An ongoing project was initiated to evaluate, and withdraw from the collection when warranted, state periodicals that have not been received through the depository system for at least two years.  Statistics for withdrawals were not maintained outside what is contained on the disposal lists.

Acquire and add to the collection federal and state documents outside the depository system through direct requests, printing from online sources, and for disposal lists of other depositories. Also, selectively add non-GPO e-resource document records to the online catalog.

Access To Government Documents
The department will continue to maintain and refine existing processes and procedures, and implement new ones when warranted, with the goal of increasing access to all federal and state documents through the online catalog, including those not distributed through the depository program, by adding records for all documents received by the library in a timely and efficient manner.  Targets for recon of older documents will be maintained and could be expanded if additional personnel were made available to work on the project.  Outdated and superseded documents will continue to be withdrawn from the collection. The library's FDLP item selection profile will be reviewed annually and adjusted as necessary to reflect the information needs of our patrons.


Update to previous cycle's plan for continuous improvement

Plan for continuous improvement Government Documents was largely successful in achieving the objectives set for this academic year. The targets are set for adding new federal and state documents in a timely fashion as the documents are received. Adding records for uncataloged documents, and weeding outdated and superseded documents, will continue next year. The use of current standards and best practices will improve access to the Government Documents collection.  The re-inventory project (Recon) continues to improve the online catalog so it accurately reflects our federal and state document holdings.  As indicated above the project to add bibliographic records to the online catalog for our pre-1995 holdings (approximately 250,000 items) could proceed at a faster rate with additional personnel.
