Library, Cataloging

Goal
Collection
Provide seamless access to a collection of high quality resources, including print, web-based resources and locally produced content, which meet the curricular and research requirements of the University.

Objective
Access To All Library Materials Through Online Catalog And WorldCat Database
Through inventory and generated reports, the Cataloging component of the Library determined that the end-user's experience in finding, selecting, accessing and retrieving library materials might be improved by maintaining the correspondence between the library's catalog of bibliographic records and OCLC's, an international bibliographic utility, database.

Indicator
Catalog Records Contain OCLC Record Numbers
The objective will be judged by the percentage of MARC (Machine-Readable Cataloging) bibliographic catalog records that contain an OCLC record number.  Excluded are: local records, temporary records, records with 0 items, Browsing materials, order records, reserve items, and vertical files.

Criterion
50% Fulfillment Of Catalog Records With OCLC Record Number
658,159 holdings were set in the 2007 OCLC Reclamation project. After the 2007 project, it was reported that 195,494 records did not contain a corresponding OCLC record number in the MARC bibliographic record. 50% (97,747) of 195,494 MARC bibliographic records will contain the OCLC record number.  The process of placing OCLC numbers inside the catalog records will include specific automated machine matching, purposeful manual matching, and departmental database maintenance not directly related to this Indicator.

Finding
Finding For OCLC Record Number
A total of 195,494 MARC bibliographic records needed to be edited to contain the corresponding OCLC record number. As of 5/18/2010, approximately 19,109 (10.23%) MARC bibliographic records had been edited, thus failing to meet the 50% fulfillment criterion. The project progressed much slower than initially planned.  Factors that played a part included a small number of trained personnel (2) working on the project as well as cataloging standards and practices that emphasize accuracy for data integrity.

Action
Action For Access To All Library Materials Through Online Catalog And WorldCat Database
The 50% fulfillment goal was not met during the measurement period. During the next measurement period, the criterion goal will be an additional 5% toward fulfillment of catalog records containing OCLC record numbers.

Objective
Access To Serials And Periodicals
Through inventory and generated reports, the Cataloging component of the Library determined that upgraded record collections might improve user access to periodicals in the library in all formats.

Indicator
Catalog Records - MARC Holdings Format
The objective will be judged by the percentage of MARC holdings catalog records (excluding Government Documents records) that conform to current cataloging policy and practices by utilizing paired fields (853/863, 854/864, 855/865).

Criterion
70% Fulfillment Of Catalog Records With MARC Holdings Format
70% of MARC holdings records (excluding Government Documents records) will conform to current cataloging policy and practices by utilizing paired fields (853/863, 854/864, 855/865).

Finding
Finding For MARC Holdings Format
7,566 MARC holdings records (excluding Government Documents records) existed in the SIRSI database as of 5/25/10.  As of the same date, 7,491 (99%) of those MARC holdings records had been edited to conform to current cataloging policy and practices by utilizing paired fields, thus exceeding the 70% fulfillment criterion.

Indicator
OCLC Local Holdings Records
The objective will be judged by the percentage of SHSU local holdings records in the OCLC database that conform to OCLC standards as well as reflect the library's current cataloging policy and practices.

Criterion
65% Fulfillment Of OCLC Local Holdings Records
65% of SHSU local holdings records in the OCLC database will conform to OCLC standards as well as reflect the library's current cataloging policy and practices.

Finding
Finding For OCLC Local Holdings Records
As of 5/24/10, SHSU had 7,690 local holdings records in the OCLC database. As of the same date, 7,120 (92.6%) of those records conformed to OCLC standards as well as reflected the library's current cataloging policy and practices, thus exceeding the 65% fulfillment criterion.

Indicator
JSTOR Records
The objective will be judged by the number of JSTOR journal collections added to the library's online catalog.

Criterion
50% Fulfillment Of JSTOR Records
5 JSTOR collections (approximately 750 records) will be added to the library's online catalog.

Finding
Finding For JSTOR Records
Although 625 JSTOR records existed in the online catalog as of 5/25/10, zero additional JSTOR collections were added during this measurement period, thus failing to meet the 50% fulfillment criterion.

Indicator
Reference Periodicals - Catalog Records
The objective will be judged by the percentage of catalog records that represent periodicals and serials located in the Reference area (classification letters A-Q) brought into conformity with the library's current cataloging policies and practices.

Criterion
45% Fulfillment Of Reference Periodicals - Catalog Records
45% of catalog records that represent periodicals and serials located in the Reference area (classification letters A-Q) will be brought into conformity with the library's current cataloging policy and practices.

Finding
Finding For Reference Periodicals - Catalog Records
Many of the catalog records that represent periodicals and serials located in the Reference area (classification letters A-Q) are in conformity with the library's current cataloging policy and practices as of 5/25/10; however, a project to determine the number of conforming records and/or problems associated with the records was not conducted during this measurement period, thus failing to confirm a 45% fulfillment. This indicator is dependent on a joint re-con project with the Library Reference/Instruction Department.  Progress could be improved with additional staff in both areas.

Action
Catalog Records - MARC Holdings Format
The fulfillment criterion was met. Further work will continue until this project is 100% complete.

Action
OCLC Local Holdings Records
The fulfillment criterion was met.  Further work will continue until this project is 100% complete.

Action
JSTOR Records
Work will continue on this project until all of the library’s JSTOR collections are represented in the online catalog.

Action
Reference Periodicals - Catalog Records
Work will continue on this project until all of the catalog records that represent periodicals and serials located in the Reference area (classification letters A-Q) are in conformity with the library's current cataloging policy and practices, and a project has been conducted to confirm this fact.

Update to previous cycle's plan for continuous improvement

Plan for continuous improvement Access to library materials through the online catalog and the OCLC WorldCat database has improved in the following areas: 19,109 out of 195,494 MARC bibliographic records now contain a corresponding OCLC record number leaving a remainder of 176,385 records; 7,491 out of 7,566 MARC holdings records conform to current cataloging policy and practices by utilizing paired fields; 7,120 out of 7,690 local holdings records in the OCLC database conform to OCLC standards as well as reflect the library's current cataloging policy and practices. A project to determine the number of conforming Reference periodical records and/or problems associated with the records was not conducted during this measurement period but will be completed for next year.  We will continue to work on completing each of these areas.

Improvement has occurred in many areas; however, we are limited by the number of available staff and by cataloging standards and best practices.  As always, we will be seeking additional staff; nevertheless, economic realities make it unlikely that staff can be added with a hiring freeze in place.
