Processing Admissions Documents
Undergraduate Admissions processes undergraduate applications, high school transcripts, test scores, and college transcripts for transfer students.


Objective
Timely Processing Of Admissions Documents
Undergraduate Admissions will process applications and accompanying documents so as to communicate an admissions decision quickly as possible.

Indicator
Processing Time
Processing time is dependent on seasonal application rates.

Criterion
Processing Time
Ideally, applications and related documents can be processed in 24-48 hours and then directed immediately to Hobsons-Connect for e-mail communication. with either a decision or indicating what is missing in the application.

Finding
Processing Time
Unless there is extremely heavy traffic with applications, the processing averages 24-48 hours.  However, the database tracking system will be switching over to Banner with Admissions going live September 2010.  There will likely be a learning curve as Banner is implemented which will cause processing time to be slowed down for a time.

Action
Processing Time Initiatives
To manage the learning curve for Banner, two systems (Banner and the current Legacy systems) will operate 2010-2011. Although additional personnel may be helpful to the goal, there is a current hiring freeze, and any new personnel would have to complete training.

New Database Platform
Go online with new database platform.

Objective
Meet Deadline For Going Online With New Database Platform
Undergraduate Admissions will be online with Banner in fall 2010.


Indicator
Implementation Date
The objective will be achieved if Undergraduate Admissions is able to go online as scheduled.

Criterion
September 1, 2010
The current scheduled date for University Admissions to go online with Banner is September 1, 2010.

Finding
On Schedule
Currently, Undergraduate Admissions is on schedule for Banner implementation to be online September 1, 2010.  Training has already been scheduled for August.

Action
Banner Implementation
The director of Undergraduate Admissions has learned that the department will oversee Banner for admissions-related entities.  The department will be responsible for making sure the requested reports are available during Phase One Implementation.  Additionally, the new Assistant Director for Admissions for Marketing and Communications has been named the Team Lead.

Goal
Electronic Records Retention
Electronic records retention will be implemented in lieu of hard copy retention.

Objective
No Backlog On Electronic Imaging
The objective is to remain current with electronic imaging to avoid a backlog.

Indicator
Scanning Time
Scanning time of new documents impacts the objective

Criterion
No Backlog
The objective is accomplished when there is not backlog of new documents to be scanned.

Finding
Scanning Time
It is taking from one to two weeks to have new documents scanned and filed to maintain no backlog.

Action
Scanning And Filing
Through reorganization of the Undergraduate Admissions, the goal will be to scan the document immediately after receipt and return the original document to the student.



Update to previous cycle's plan for continuous improvement

Plan for continuous improvement A number of changes in Undergraduate Admissions will lessen the time required to communicate an admission decision to an applying student.  The implementation of the Banner database platform will initially slow the admissions process and, in the long run, improve it.  Banner implementation is on schedule for admissions to be online September 1, 2010.  The scheduled training in August should prepare the admissions staff for the implementation.  Still, both the current Legacy system and the new Banner system will run the first year to work out the bugs in the newly implemented system.  Undergraduate Admissions will also oversee Banner reports for several related entities in the Division of Enrollment Management, and the new Assistant Director for Admissions for Marketing and Communications has been named the new Team Lead.  Finally, the offices of Undergraduate Admissions are currently undergoing reorganization, and one goal with the new arrangement is to scan recently received documents at the point of receipt and file them electronically so that the originals may be returned to the student.
