Criterion
Re-organization of Beto Collection
Reorganizing, relabeling, digitization of an estimated 875 file folders, 300 photographs, other personal items in eight file cabinets.

Finding
Re-organization Of The Beto Collection
Although this project is on the Archive lists of projects is it currently in limbo because of renovations being made in the Thomason Room where the eight Beto file cabinets are housed. The renovations include replacement of existing lighting with adequate lighting. This electrical work requires the lighting to be off in the Thomason Room frequently during the day. An alternate site where the project was going to move to is now housing the new lighting fixtures for the Thomason Room. This new lighting is taking up most of the floor space in the alternate location. Moving the file cabinets into the University Archives is not an option because of very limited space in this area.

It is unknown how long the lightening project will last in the Thomason Room so no projection can be made as to when the project can be completed.

Criterion
Reference Collection Inventory
Develop a benchmark for the number and % of items located in the appropriate location by completing an inventory of the Ready-Ref collection

Finding
Reference Collection Inventory
In 2008 the Head of Technical Services and the full-time Reference Staff member began inventory, several issues developed with SIRSI database and it was decided to postpone the inventory until a later date. In spring semester 2009 the Head of Reference and the full-time Reference Staff member began the process of inventorying small defined collections within the Reference Collection. Inventorying of the ReadyRef Collection, the CD- ROM Collection and the Careers and Grants Collections have been completed, with SIRSI non-inventoried reports for individual locations (ReadyRef, CD-ROM , Careers, Grants) being resolved with 100% shelf to catalog agreement.

Inventory of primary Reference Collection halted as a result of determining a significant number of Reference books are not bar-coded. Inventory placed on hold while an RI (Re-inventory) project to identify problem records and place bar-codes on items with OCR (D#) labels. This RI project is currently underway.

Indicator
Electronic Reference Books

Establish benchmark for number and percent of electronic reference titles compared to a peer group
Draft of the collection development policy Electronic Reference Books will be completed in fiscal 2009
Draft of usage/access plan for Electronic Reference Books will be completed in 2009

Finding
E-Reference Book Policy
A survey of academic librarians across the United States was performed in 2008. 24% (49) of the librarians stated their institutions had less than 50 electronic reference titles, while 23% (47) had more than 500 electronic reference titles, 16% (32) had between 50 to 100 electronic reference titles, and 27% (55) had between 100 to 500 electronic reference titles. The Reference collection at the Newton Gresham Library holds approximately the same number of electronic titles as 27% of respondents, more titles than 40% of respondents and fewer titles than 23% of the respondents.

Regarding e-Reference packages the Newton Gresham Library holds the same number of packages as 20% of the respondents, more packages than 55% of the respondents, and fewer packages than 15 % of the respondents.

Results of the survey indicate that the Newton Gresham Library has the same or a greater number of Reference titles in electronic format as 67% of the libraries surveyed, and the same or more e-Reference packages as 75% of the respondent's libraries. These results indicate that the Newton Gresham Library is ahead of most libraries surveyed in the ordering and purchasing of electronic reference books.

Indicator
Special Collections
Access to material in Special Collections will be improved by correction, creation and recovery of records through a re-inventory project.

Criterion
Re-Inventory Special Collections
Establish benchmarks for the project using a shelf-list report for call numbers A to F by noting the number of corrected records and the number of new records added to the catalog

Finding
Re-Inventory, Special Collections
Currently, we have progressed from A-BX's (approximately 1200 records of 17,000) in our re-inventory project in the Thomason Room. Cheryl Spencer obtained a report by call number from Linda Turney and is comparing the report, online catalog and Workflows to make sure that the items on the shelf are correctly identified and accounted for. Linda Turney has visited and discussed the project and how it may be facilitated.
We have found quite a number of records which needed to be added or corrected, probably as a result of switching from DRA to Sirsi several years ago. We have completed corrections for around 250 items. Due to the ceiling and fire system installation, this project has been interrupted several times during the past year. Further interruptions have been occasioned by installation of the new lighting system which will very much improve visibility. There are around 30 items (earliest from April 2) waiting for action in the Technical Services area, pending availability of staff to implement the necessary changes. We are not adding to those at present, until some additional progress becomes possible.

As the project progressed, approximately 180 Confederate Imprints (pamphlets)were identified and they are under review by Ms. Kievit-Mason and will be added to the catalog to enable access for student and faculty users. The list of Mark Twain items in the special authors cases has been cataloged.
We have experienced many appreciative comments from patrons and faculty regarding enhanced accessibility.

This year's user surveys of Circulation and Interlibrary Loan identified ways to improve service:
1) re-training student assistants to be more welcoming and to have a better understanding of policy and to turn to staff members when they do not have the answer;
2) Interlibrary Loan initiatied a grace period to help eliminate overdue charges when the department is not open; this was in response to information acquired from the survey.
