Goal
Timeliness in Enrollment Procedures
To review and process enrollment applications in a timely fashion

Objective
Increase Accessibility of Packets
To have enrollment packets ready for shipment to allow students the option for print-based or electronic packets

Indicator
Utilization of Activity Report
An activity report within CORR01M is utilized to notify the student that his/her application has been processed.

Criterion
Improve Process Time
Enrollment applications are processed within one(1) to two(2) business days.

Finding
Collaboration with Registrar
For SHSU students, applications are evaluated and processed immediately. However, for the non-SHSU students, the process is delayed by up to several days.

Action
Collaboration with Registrar
A primary and an alternate staff member from the Registrar''s Office will be cross-trained to enter the Correspondence Course students in the database.

To promote student satisfaction in all aspects of correspondence course operations including the enrollment process, efficient communication with students and graders regarding timeliness in lesson submission and return, and the process of the final exam application

Increase use of electronic means of communication

Electronic Activity Report to Students -- CORR01M
An activity report within CORR01M will automatically be sent via-email upon completion of requests for extensions, drops, reinstatements, transfers, and final grades.

Criterion
Correspondence Course Communication
One hundred percent (100%) of communications will be sent to students and faculty via e-mail.

Finding
Electronic Activity Report to Students
We met the one hundred percent (100%) goal of utilizing the Electronic Activity Report to communicate with faculty and students. However, eight-six percent (86%) of faculty responded by this electronic means of communication. The remaining fourteen (14%) communicated with student record sheets and phone calls.

Indicator
Late Lesson Report to Graders -- CORR76RC
A late lesson report, CORR76RC, will be generated on a monthly basis to alert course graders of their tardiness in returning lessons.

Criterion
Increase in Grader Compliance
One hundred percent (100%) of all course graders will comply with the two-week return time frame.

Finding
Late Lesson Report to Graders
According to our data, fifty-seven percent (57%) of correspondence course graders returned lessons in a timely fashion.

Action
Late Lesson Report to Graders
Although we did not meet our target, we plan to notify the course graders via e-mail in addition to the Late Lesson Report and stress the importance of timeliness for both the students and for institutional research purposes.

Electronic Activity Report to Students
We plan to successfully continue with one hundred percent (100%) of communications being sent to students and faculty via e-mail. We will strive to encourage the 14% of faculty that does not utilize this means of communication to do so.

Correspondence Course Grader Evaluations
to put into place a system to evaluate correspondence course graders

The department will purchase a scantron machine which will be used to evaluate course graders evaluation forms

Criterion

The scantron machine will be purchased and implemented beginning of the new Fiscal year 2009

Finding
scanton machine
The scantron machine has been approved through HEAF funding. The department is waiting for the availability of funds to purchase the equipment.

Action
Scantron Machine
Although the machine has not been purchased, it will be purchased in the beginning of the fall academic semester and be ready for use in time for the course grader evaluations at the end of the semester.
